Added value by agile project portfolio management

What are success factors and challenges for effective and efficient agile, but still hybrid, project portfolio management? On one hand a form of top-down defined investment portfolio is required, which is focused on value contributions and allows for top prioritization, but in which it is not yet spoken of projects. This is due to the fact that
agile, rolling planning is better than constantly changing annual planning. Requirement for a functioning agile project and project portfolio management are “Management by Vision” instead of “Management by Order”, get rid off silo mentality, implement focus (sequentialyl rather than parallelly), use of selected ceremonies, methods, processes, and tools from agile frameworks like LeSS or SAFe, and the insight that agility is not only a method, but a way of thinking!

Johannes Felchlin is a Lead IT project portfolio manager at Helvetia Versicherungen Switzerland. He was head of project management at Basler Versicherungen Switzerland, member of the executive board of an IT service company, and PMO officer at Swiss Re in Zurich before. He looks back on 20 years of PPM experience. During his professional training, Johannes Felchlin acquired a Bachelor in marketing (CH), an Executive MBA (USA & NL) and he is a certified project manager (PMP/PMI), Certified Project Director (IPMA® Level A), certified LeSS Practitioner as well as certified SAFe 4 Agilist (SA). In addition he works as a Lecturer for PM at the Zurich University for Applied Sciences (zhaw) and as a co-author of the book “Projektportfolio-Management – Strategische Ausrichtung & Steuerung von Projektlandschaften“ (“Project Portfolio Management — Strategic Orientation & Control of Project Landscapes”).

Visualization of the development process with quality gates in PLANTA project

VACUUMSCHMELZE GmbH & Co. KG (VAC) has implemented PLANTA in its development department. The objective of this implementation was to visualize the entire innovation process with PLANTA. The innovation process of VAC consists in several phases and following approvals. Furthermore VAC has two different types of projects. Some of them can be planned and controlled internally, others are hardly plannable and customer controlled. With the help of the process models in PLANTA and numerous adjustments, both the complete innovation process from idea to finished product or process and the different project types could be visualized entirely. As a result, work can be conducted paper-free to a great extent.

Change to 39 — departure to a new world

For SIGNAL IDUNA a system has been adjusted which has been in production for 13 years. The special challenges during realease change were a.o. that this system had undergone a company unbundling as well as linkage and migration of data amounts. Another challenge was the quality in the old system.
What were the expectations of the users towards the new system and what does reality look like? Which training concept did we use, how did we get the new system to the user? Which obstacles did occur in the release change and how could they have been prevented? The new system displays a new process for cost/budget planning as well as approval including update.

On the way to paper-free project management — process models in PLANTA 39

Since 2011, LTI Motion GmbH counts on multi-project management software by PLANTA. By updating to version 39.5, various complex
processes have been facilitated Digitalization and paper-free work are very powerful terms. Here, LTI counts on process minimization, integrates interfaces to the ERP world and synchronizes, a.o., the stamping times with the Work Reporting module. The semi-automated funding project invoicing, e.g. for funding programmes of the German Federal Ministry of Education and Research, saves paper and time in administration. The changeover of gate and milestone approvals of forms into digital process models played a major role and facilitates traceability.
