External Presentation Day 1

Keynote: Johannes Felchlin, Helvetia Versicherungen Basel
Added value by agile project portfolio management

Content:
What are success factors and challenges for effective and efficient agile, but still hybrid, project portfolio management? On one hand a form of top-down defined investment portfolio is required, which is focused on value contributions and allows for top prioritization, but in which it is not yet spoken of projects. This is due to the fact that
agile, rolling planning is better than constantly changing annual planning. Requirement for a functioning agile project and project portfolio management are “Management by Vision” instead of “Management by Order”, get rid off silo mentality, implement focus (sequentialyl rather than parallelly), use of selected ceremonies, methods, processes, and tools from agile frameworks like LeSS or SAFe, and the insight that agility is not only a method, but a way of thinking!

Speaker:
Johannes Felchlin is a Lead IT project portfolio manager at Helvetia Versicherungen Switzerland. He was head of project management at Basler Versicherungen Switzerland, member of the executive board of an IT service company, and PMO officer at Swiss Re in Zurich before. He looks back on 20 years of PPM experience. During his professional training, Johannes Felchlin acquired a Bachelor in marketing (CH), an Executive MBA (USA & NL) and he is a certified project manager (PMP/PMI), Certified Project Director (IPMA® Level A), certified LeSS Practitioner as well as certified SAFe 4 Agilist (SA). In addition he works as a Lecturer for PM at the Zurich University for Applied Sciences (zhaw) and as a co-author of the book “Projektportfolio-Management – Strategische Ausrichtung & Steuerung von Projektlandschaften“ (“Project Portfolio Management — Strategic Orientation & Control of Project Landscapes”).

Over 160 years, Helvetia Group has grown into a successful international insurance group by merging different insurance companies from Switzerland and abroad. Today Helvetia disposes of subsidiaries in the Swiss home market as well as in the countries of Germany, Italy, Austria, and Spain as combined in the European market. In the market segment of specialty markets, Helvetia is also present in France and world wide through selected destinations. Eventually it organizes part of its investment and financing activities via subsidiaries and investment companies in Luxemburg. The group’s headquarters are situated in St. Gallen, Switzerland. Helvetia is active in life and non-life business; furthermore it offers customized specialty lines covering and reinsurances. The focus of its business operations ranges from private customers and small and medium-sized companies up to larger businesses. With about 6.600 employees, the corporation provides services for more than 5 million customers. With a business volume of CHF 8.64 billion in 2017, Helvetia made CHF 502.4 millions from its business activities. The nominal share of Helvetia Holding are traded in the SIX Swiss Exchange AG stock market under the acronym HELN.

External Presentation Day 2

Presentation with discussion: Dr. Holger Schwenk, Vacuumschmelze GmbH & Co. KG
Visualization of the development process with quality gates in PLANTA project

Content:
VACUUMSCHMELZE GmbH & Co. KG (VAC) has implemented PLANTA in its development department. The objective of this implementation was to visualize the entire innovation process with PLANTA. The innovation process of VAC consists in several phases and following approvals. Furthermore VAC has two different types of projects. Some of them can be planned and controlled internally, others are hardly plannable and customer controlled. With the help of the process models in PLANTA and numerous adjustments, both the complete innovation process from idea to finished product or process and the different project types could be visualized entirely. As a result, work can be conducted paper-free to a great extent.

VACUUMSCHMELZE develops, produces, and markets magnetic special materials and turns them into sophisticated products. In 1914, the first vacuum melting furnace laid the foundation for today’s VACUUMSCHMELZE Alloys have been melted under vacuum in an industrial way since 1923. The small company from Hanau developed into a large company which operates worldwide: with approx. 4.300 employees in over 50 countries and an annual turnover of about 400 million euros. Today, VACUUMSCHMELZE offers a broad range of magnetically and physically valuable semi-finished materials and parts, inductive components for electronics, magnets and magnet systems which are used in different areas and industry branches — from the watch industry via medical technology, regenerative energies, shipbuilding, and installation technology up to automobile and aviation industry. The use of VACUUMSCHMELZE products is so extensive that we all use them on a daily basis without even knowing it.

From here to now: With PLANTA through the Vuca world

Content:
What is VUCA anyway and why should a change be necessary for «us»? What does PLANTA have to do with that
in the first place? Creativity, speed, and flexibility in the world of planning? In an insurance company?

Since 2007 I have the pleasure of accompanying AXA Switzerland on its way. What lessons have I learnt in the course of this? The only permanence is change. The more informed I am, the easier it gets for me to find a balance between necessary security and flexibility also in day-to-day work.
About two million customers place their trust in AXA. They rely on AXAs experience and advice in personal, property, liability, and life insurance as well as in health and professional provision. AXA is the leading insurance company in Switzerland and therefore has an ambitious vision: to generate free space for their customers beyond financial security and thus help them to live a carefree life. Thanks to innovative products and services and simple digital processes. Over 4000 employees and 2500 colleagues in 276 general agencies make their efforts to make this possible.

Change to 39 — departure to a new world

Content:
For SIGNAL IDUNA a system has been adjusted which has been in production for 13 years. The special challenges during realease change were a.o. that this system had undergone a company unbundling as well as linkage and migration of data amounts. Another challenge was the quality in the old system.
What were the expectations of the users towards the new system and what does reality look like? Which training concept did we use, how did we get the new system to the user? Which obstacles did occur in the release change and how could they have been prevented? The new system displays a new process for cost/budget planning as well as approval including update.

On the way to paper-free project management — process models in PLANTA 39

Content:
Since 2011, LTI Motion GmbH counts on multi-project management software by PLANTA. By updating to version 39.5, various complex
processes have been facilitated Digitalization and paper-free work are very powerful terms. Here, LTI counts on process minimization, integrates interfaces to the ERP world and synchronizes, a.o., the stamping times with the Work Reporting module. The semi-automated funding project invoicing, e.g. for funding programmes of the German Federal Ministry of Education and Research, saves paper and time in administration. The changeover of gate and milestone approvals of forms into digital process models played a major role and facilitates traceability.
