Basic Load in Project Management – Definition and Meaning
Basic load, in the context of resource management, refers to the minimum continuous workload on resources (particularly personnel) caused by ongoing, non-project-related operational activities, line tasks, or administrative duties. It is used to capture the baseline utilization of resources and is considered when planning project capacity. Typically, the basic load is accounted for in resource management by subtracting the time required for these routine tasks from the total capacity of a resource to determine the actual capacity available for project work.
Example, best practice, and additional information
In an IT department, for example, the basic load might include the time employees regularly spend answering support requests, performing routine server maintenance, or handling administrative tasks. A best practice is to realistically estimate and explicitly include it in project resource planning. This aligns with the use of resource calendars in the PMBOK Guide and agile capacity planning. Taking this into account ensures that available capacity for project work is not overestimated and that resources are not systematically overloaded.
