Basic Load Project in Project Management – Definition and Meaning

A basic load project, similar to an overhead cost project, is a special “project” or cost/time collection point in a project management or time tracking system. It is used to record efforts for ongoing, repetitive, routine, or operational activities that are not part of a specific, time-limited project (basic load). It helps distinguish and transparently track this continuous work separate from actual project work. These types of “projects” are typically set up for recurring tasks or line activities and provide a structure for capturing basic load data.

Example, best practice, and additional information

In a customer service center, for instance, a basic load project might be used to record employees’ time spent on daily phone support, handling general inquiries, or completing routine administrative tasks. A best practice is to define clear guidelines for which activities can be booked to basic load projects and, if necessary, set targets or metrics for these ongoing tasks. This supports project management practices according to the PMBOK Guide (through clear delineation) and agile approaches such as Kanban boards for visualizing ongoing tasks. It enables more efficient resource utilization, improved project capacity planning, and traceable performance measurement in operational areas as well.
