AI: Flexibility and Performance
| Translated by Julian Hammer
PLANTA is continuously developing its software with the aim of supporting teams even more efficiently, simplifying processes, and maximizing adaptability. The latest release offers exciting new functions for agile and traditional project management. These include new AI-supported features (with the option to store your own OpenAI key), expanded design options for boards and dashboards, and powerful tools for planning, reporting, and risk management.
What’s New in Agile Project Management
More Flexibility through Custom Fields
Managing custom fields is now much more flexible: administrators can create these fields centrally in the Administration panel and make them available system-wide. In addition, user-defined fields can be configured at the project level – for greater consistency in subordinate boards.
Boards and individual cards also benefit from these innovations: Project managers can now insert project-specific fields, customize boards, and structure information precisely.
These two fields have been added:
- “Booking object from PLANTA Project” – for linking to tasks and direct time booking.
- “User selection” – ideal for assigning primary responsible persons; multiple selections are also possible.
Time tracking has also been expanded: The remaining effort is now displayed directly, allowing teams to keep better track of their tasks.
Tip: When filtering on boards, text fields and the display text of links are now also taken into account – for an even more targeted search.
Refurbished Design, Usability, and Attachments
The card view has been modernized—it is now clearer, more structured, and visually customizable. Colors for start and due dates can be set individually to highlight important deadlines.
In addition, board templates are now available directly when creating a board – saving time and promoting standardization.
Cards can now embed web content via links. This keeps everything connected and up-to-date.
Greater Efficiency through AI, Automation, and Workflows
The new release includes a powerful AI boost that makes daily project work significantly more efficient and user-friendly. The AI functions take over tasks that would otherwise require a lot of manual work from project teams, allowing them to focus more on the actual project goals.
Intelligent Checklists at the Click of a Button
Tasks often start with a rough title or a short description. Thanks to the new AI-supported checklist generation, you can now automatically create meaningful subtasks. The AI analyzes the content of the card and converts it into structured, logically organized steps. This saves time—especially for recurring processes—and creates clarity for everyone involved.

Automatically Improve, Expand, or Rephrase Text
Do you want to add to a description or make a text that is too concise more understandable? The integrated AI helps you to further elaborate on content, get to the point, or optimize the style – directly within the card. With a simple mouseclick you get a revised suggestion based on the original content, but more professional, clearer, and easier to read.

Automate Workflows and Use Them Company-Wide
Workflows can be used to define various rules and automations to map your own process on a board. These are now available to all users – complete with new features such as:
- Swimlanes
- “Reopened” list
- Compatibility with hybrid projects and synchronized boards
This allows you to automate recurring processes and save valuable time.
In addition, cards can now be linked to each other to transparently display task hierarchies or dependencies.
Further Improvements in Agile Project Management
- Synchronized users who are set to “Left” are now automatically deactivated in the agile component as well.
-
Currently edited cards are highlighted more clearly in the Time Tracking panel – for greater transparency in time recording.
-
Reminders can be set for the start and due dates of cards – ensuring that no deadlines are missed.
-
Working times can be entered directly below the scale in the Time Tracking panel (setting: User Settings → Time Tracking Settings → Entry below scale).
-
Projects can be archived to clearly hide completed or inactive initiatives from day-to-day operations.
-
Start and end dates can now be defined for each project – helpful for time-based classification and control.
-
Boards can only be created within projects – ensuring greater structure and clear project assignment.
-
Notifications for individual cards or boards can now be muted when required.
-
The agile component can be visually adapted to your corporate design – colors, logos, and visual elements can be customized individually.
-
Improved in-app notifications provide users with up-to-date information and product news directly within the application.
-
In the board calendar view, both labels and card colors are now displayed. Cards can be moved via drag & drop, allowing start and end dates to be adjusted directly.
-
Board members can now also be managed and configured in the admin panel – including permission control.
-
The dashboard now offers extended filter options in the filter widget. In addition, columns can be configured individually and the view can be grouped by projects.
-
Security is continuously maintained at the highest standard.
What’s New in Traditional Project Management

AI, Reports, and Smart Planning in Traditional Project Management
Intelligent Planning with AI
Thanks to artificial intelligence, schedules can now be generated automatically – quickly, data-driven, and tailored to your specific framework conditions. The AI analyzes stored information such as project duration, dependencies, milestones, and resource availability, and uses this data to create realistic schedules that serve as a foundation for operational planning.
Your Personal AI Assistant – Support in the Help Center
In addition to consolidated, context-specific help, an AI-based assistant is now available to you in the Help Center. It answers your questions about functions, modules, and settings – directly, clearly, and in context.
Whether you want to know how to set up a specific workflow, assign resources more efficiently, or find a particular setting, the AI assistant provides quick answers, suggests solution approaches, and can link directly to the relevant area in the software when needed.
Stakeholder Matrix & Project Insights: More Transparency, More Learning Impact
With the new stakeholder matrix, you can evaluate stakeholders directly within the project. The results are presented visually – enabling a clear and targeted communication strategy.
Use the new project insights to continuously document lessons learned, actions, and decisions. This information can be used to generate a cross-project report that provides valuable insights for future projects.

ISO-Compliant Risk Management & Smart Linking Functionality
PLANTA Project now offers enhanced risk management in accordance with ISO 27001: risks can be recorded, assessed, and tracked in detail both before and after treatment.
Another highlight: direct links to relevant project areas – for example from the dashboard, the project profile, or the status report. Time tracking can also be accessed directly via links. This saves time and reduces search effort.
And last but not least: PLANTA Project is now a container-based application – enabling modern IT architectures and easier scalability. Further information can be found in Managing software in containers or in our online help.

Further Improvements:
-
The booking period for working times can now be restricted more precisely, allowing time recording to be better aligned with project- or company-specific requirements.
-
An individual selection of load profiles is now available – ideal for more differentiated modeling of resource utilization and project progression.
-
Portfolio simulation now also supports subprojects, enabling more realistic scenarios and better analysis of complex project landscapes.
-
On a resource’s profile card, the tooltip now displays the date on which the resource leaves or has left the company. From this point on, the resource can no longer be scheduled for new projects.
Conclusion: More Efficient, More Intelligent, More Connected
With this release, PLANTA sets new standards for modern project management – hybrid, customizable, and AI-driven. Whether in agile or traditional projects, the new features deliver greater transparency, reduced effort, and improved collaboration.
